Position Overview
We are seeking a highly organized, detail-oriented, and tech-savvy Tax Administrator to support our Tax and Legal teams. This role works closely with tax and legal partners who advise closely held businesses and their owners on sophisticated tax, transactional, estate planning, and operational matters.
This is a fast-paced, document-intensive role requiring exceptional project coordination, deadline management, operational awareness, and a high level of accuracy, particularly during peak tax season. The ideal candidate is proactive, solutions-oriented, operationally minded, and excited about leveraging AI-enabled tools, workflow automation, and modern technology solutions to improve efficiency, scalability, and administrative operations across the firm.

Position Overview

Key Responsibilities
Tax & Administrative Support
- Gather, organize, and manage tax documents and information from clients
- Prepare engagement agreements and related client documentation
- Maintain and manage client files with a high degree of accuracy, organization, and confidentiality
- Support tax return processing, including sorting, scanning, clearing diagnostics, e-filing, tracking, and final assembly
- Assist with administrative support across business planning, corporate governance, succession planning, M&A, estate planning, and real estate matters
- Coordinate multiple projects and deadlines while ensuring timely completion of deliverables
- Manage client communications and provide a high level of responsiveness and professionalism
- Support partners and staff with administrative, operational, and workflow-related tasks as needed
- Assist with the implementation and optimization of AI-enabled administrative and tax workflow processes
- Identify opportunities to streamline operational procedures through automation and technology solutions
- Support the development and maintenance of standardized workflows, templates, checklists, and process documentation
- Help improve operational efficiency across tax return processing, client onboarding, document collection, and internal administrative workflows
- Coordinate workflow tracking, task management, and project status reporting across departments
- Partner with leadership to improve scalability, organization, and operational effectiveness within the Tax and Legal teams
- Assist with maintaining organized digital records and improving data integrity across systems and platforms
- Utilize AI-assisted tools and workflow technologies to improve efficiency, document management, communication, and project coordination
- Support automation initiatives involving document routing, client follow-up communications, task management, and workflow tracking
- Remain current on emerging administrative technologies, AI-enabled tools, and best practices relevant to professional services environments
- Assist with onboarding and implementation of new software, systems, and workflow technologies as needed
- Help drive continuous improvement initiatives through technology adoption and operational enhancements
Qualifications & Experience
- Minimum of 3+ years of experience in a tax, legal, accounting, or professional services environment
- Experience supporting CPAs, attorneys, or financial professionals strongly preferred
- Working knowledge of tax source documents and administrative workflows
- Demonstrated ability to manage multiple deadlines and priorities in a deadline-driven environment
- Strong project management, organizational, and follow-through skills
- Experience working in fast-paced, high-accountability environments preferred
Technical Skills
- Advanced proficiency in Microsoft Excel, including formulas, data organization, reporting, and spreadsheet management (macro experience a plus)
- Strong technical aptitude and systems orientation
- Proficiency in Microsoft Office Suite (Word, Outlook, PowerPoint), including document formatting, proofreading, and redlining
- Experience with CCH ProSystems Suite or similar tax software preferred
- Strong comfort level learning and leveraging AI-enabled productivity and workflow tools
- Familiarity with workflow automation platforms, document management systems, CRM systems, or process optimization tools preferred
- Demonstrated ability to improve operational efficiency through technology adoption and process refinement
- Experience using AI-assisted administrative, project management, or workflow tools is a plus
- Ability to quickly learn and adapt to new software platforms and evolving technologies
